Xero API Integration Cost: What to Expect in the UK

Xero’s API is free to use — there’s no licence fee for accessing it beyond your standard Xero subscription. The cost of integration is purely the development work: building the OAuth connection, mapping invoice data correctly, handling payment reconciliation and connecting everything to your existing platform. That development cost ranges from £1,295 for a straightforward invoice sync to £2,995 for a full multi-organisation build with complex reconciliation logic.

Three build tiers

Invoice sync and contact management: £1,295

Automated invoice creation from your platform events, contact creation and sync, credit notes for refunds. OAuth 2.0 connection with token refresh, correct VAT mapping to your Xero chart of accounts, duplicate prevention and error handling. Invoices created in the correct Xero status for your approval workflow. For ecommerce stores, SaaS platforms and service businesses where the primary need is getting invoices into Xero automatically without manual data entry.

Timeline: approximately one to two weeks.

Full reconciliation build: £1,995

Everything in the invoice sync tier, plus automatic payment reconciliation. Stripe, GoCardless or bank payment events matched to Xero invoices and applied automatically. Invoice lifecycle fully managed — created, paid, credited or voided by your platform events. Stripe payout reconciliation creating Xero bank transactions for each payout. For businesses where manual reconciliation is a current pain point and who want their Xero books to stay current without any manual intervention.

Timeline: approximately two weeks.

Multi-organisation and complex builds: £2,995

Multi-organisation Xero connections for platforms serving multiple clients or managing multiple entities. Each client or entity has its own Xero OAuth connection, its own token set and its own account mapping configuration. The platform can create invoices, sync contacts and manage payments across all connected Xero organisations from a single integration layer. For accountancy practices, multi-entity businesses and platforms that provide Xero functionality to their own customers.

Timeline: three to four weeks depending on scope.

What drives the cost up

Complex tax handling. Standard VAT at 20% is straightforward. Businesses with multiple VAT rates, OSS registrations, reverse charge B2B sales, partial exemption or mixed supply rules need more involved tax mapping logic that takes longer to design and test correctly.

Multi-currency. Invoicing in multiple currencies with correct exchange rate handling, and reconciling Stripe or GoCardless multi-currency payments against Xero invoices, adds meaningful complexity to both the invoice creation and reconciliation logic.

Complex existing systems. Integrating Xero with a clean modern platform via a documented REST API is faster than integrating with a legacy system, a bespoke CRM or a platform with limited API access. The Xero API side is always well-documented — it’s the system on the other end that determines complexity.

Custom Xero data structures. Businesses that use tracking categories, project codes, custom fields or complex chart of accounts structures need more careful mapping and more thorough testing than standard Xero setups.

High volume with rate limit management. Platforms processing hundreds of transactions daily need queue-based architectures with proper rate limit management rather than simple synchronous sync. This adds architectural complexity and build time.

What drives the cost down

Standard UK VAT only. A business that charges 20% VAT on everything (or zero rates everything) has the simplest possible tax mapping. No international complexity, no mixed supply rules.

Clean modern platform. WooCommerce with standard order data, a SaaS platform with a well-documented REST API, or a modern CRM with webhook support. The cleaner the data source, the faster the integration.

Single Xero organisation. One company, one Xero account. No multi-tenant complexity.

Ongoing costs

Xero’s API is included in your Xero subscription. No per-call charges. An optional retainer of £49/month covers Xero API version updates, OAuth connection monitoring (Xero occasionally changes its OAuth flow), and minor adjustments when Xero releases API changes that affect the integration.
