What it does
What the WhatsApp Business API provides.
The WhatsApp Business API (Meta’s Cloud API) enables businesses to send and receive WhatsApp messages programmatically — transactional notifications via approved templates, two-way customer conversations, automated confirmation flows with interactive buttons, and inbound message handling via webhooks. WhatsApp consistently delivers the highest open rates of any messaging channel: above 95%, with messages read typically within minutes.
A custom integration connects WhatsApp directly to your platform. Order placed, appointment scheduled, payment confirmed — the message fires automatically to the customer’s WhatsApp. With interactive message templates, customers can confirm or cancel with a single tap. Their response comes back as structured data that your system acts on immediately. No manual message sending, no inbox monitoring, no WhatsApp Business app required.
Who it’s for
Who uses a WhatsApp Business API integration.
Appointment-based businesses wanting confirmation flows
Healthcare practices, salons, clinics, trades businesses — any appointment-based service where no-shows cost revenue. WhatsApp reminders with tap-to-confirm buttons achieve higher confirmation rates than SMS because the response requires one tap rather than typing YES. Confirmation status writes back to the booking system automatically. Cancellations give advance notice. Empty slots can be filled. The ROI is direct and measurable.
Ecommerce businesses wanting higher-engagement notifications
Order confirmations, despatch notifications, delivery updates — delivered to customers’ WhatsApp accounts where open rates exceed 95%. Customers who have WhatsApp see these messages immediately, in the same app they use for personal conversations. Combined with a Royal Mail or DPD API integration, tracking links populate automatically. Customer queries in reply are handled by the integration and routed to the right place.
Service businesses automating B2B communications
Agencies, consultancies, facilities management and professional services businesses that communicate with clients via WhatsApp already. An integration sends invoice notifications, project status updates, meeting reminders and contract reminders automatically from your CRM or project management system — no-one has to remember to send them manually.
Platforms handling customer support at scale
When customers contact you via WhatsApp, the integration routes inbound messages to your support system, creates tickets in your CRM, triggers automated responses for common queries, and escalates to a human agent when needed. Customer history is available in context. Routine queries are handled automatically. Human agents handle the exceptions. Support costs fall without sacrificing quality.
Businesses adding WhatsApp alongside SMS
Many businesses run Twilio SMS for universal reach alongside WhatsApp for customers who prefer it. The integration handles both channels from the same platform events — Twilio SMS as the default, WhatsApp for customers with a verified WhatsApp number. Customers who use WhatsApp get the richer experience; customers without it still get SMS. See the Twilio SMS integration service for the SMS side.
Why it’s complex
Why WhatsApp needs a custom build.
WhatsApp Business API integrations are always bespoke. Meta’s approval processes, template management, conversation window logic and webhook infrastructure require custom implementation for every use case.
Template approval management
All outbound notifications require Meta-approved templates. Drafting, submitting, iterating on rejections and managing multiple templates across your message types is part of the build process.
Conversation window logic
Free-form messages are only permitted within a 24-hour customer service window. The integration tracks conversation state and chooses the right message type automatically — template outside the window, free-form within it.
Interactive buttons
Tap-to-confirm reply buttons in appointment reminders and action buttons in notifications don’t exist in SMS. Building interactive templates and handling button responses requires custom implementation.
No ongoing platform fees
Business Solution Providers charge monthly fees on top of Meta’s conversation rates. A custom integration using Meta’s Cloud API directly means you pay Meta only — no BSP markup, no platform dependency.
The process
How a WhatsApp Business API integration is built.
WhatsApp requires more upfront setup than most APIs — Meta verification and template approval add time before development starts. Everything that can run in parallel does.
Scoping
We map the message types needed, draft initial template content, and confirm the conversation flows and inbound handling required for your use case.
Fixed-price quote
Clear, itemised quote before work begins. Scope agreed in writing.
Meta setup and verification
Meta Business Account verification, WhatsApp Business Account creation, phone number registration and developer app setup. This runs in parallel with development in the test environment.
Template submission and approval
Message templates drafted and submitted to Meta for review. Utility templates typically approve within hours. Development continues in test mode while production templates are reviewed.
Build, testing and handover
Trigger logic, webhook handlers, conversation state management and interactive message handling built, tested in WhatsApp’s sandbox environment and deployed. Full documentation on handover.

Common questions
WhatsApp Business API FAQ.
Is this different from the WhatsApp Business app?
Yes — completely different. The WhatsApp Business app is a manual tool for small businesses to manage conversations one at a time. The WhatsApp Business API is a programmatic interface for sending messages at scale, triggered by events in your system, with inbound replies handled automatically. No app interface is involved.
Do all outbound messages need Meta approval?
Outbound messages sent to customers who haven’t messaged you in the last 24 hours must use pre-approved templates. Within a 24-hour window after a customer contacts you, free-form messages can be sent. For transactional notifications (order updates, appointment reminders), templates are drafted as part of the build and submitted to Meta for approval — utility templates typically approve within a few hours.
How long does the WhatsApp Business API setup take?
The full process from starting Meta verification to sending the first live message typically takes 1–3 weeks. Meta Business Verification takes 1–5 business days. Template approval for utility templates takes a few hours. The technical integration is built in parallel using the test environment so waiting on Meta approvals doesn’t delay development. See the WhatsApp Business API setup guide for the full process.
What does WhatsApp messaging cost?
Meta charges per 24-hour conversation window — not per message. All messages to and from a customer within that window count as one conversation. UK utility conversation rates are approximately 2–4p. Meta provides 1,000 free conversations per month. A small business sending appointment reminders to 200 customers per month is likely within the free tier. See the WhatsApp Business API cost guide for full pricing details.
Can I use a number I already use for the WhatsApp Business app?
Not simultaneously. A number used with the WhatsApp Business app or personal WhatsApp must be migrated before it can be used with the API. Most businesses use a dedicated number specifically for the API to avoid disrupting existing WhatsApp usage.
How does WhatsApp compare to SMS for notifications?
WhatsApp has higher engagement and supports interactive buttons and media. SMS has simpler setup, universal reach and lower build cost. Many businesses run both — SMS as the default for universal coverage, WhatsApp for customers who prefer it. See WhatsApp vs SMS for business messaging for the full comparison.
Can the integration work with my existing booking or CRM system?
Yes — any platform with an API or database access. Booking systems, CRMs, WooCommerce, custom platforms. The integration hooks into your existing event triggers and can write back to your system when customers respond. The Two-way Messaging tier covers booking system write-back; the Support Automation tier covers full CRM integration.
WhatsApp messaging integrates cleanly into a professionally designed website, and pairs well with local SEO in Blackburn to put your business in front of nearby customers.
